Who We Are

Travelosophers is a trading name of Cyplon Travel Ltd, an ABTA, ATOL and IATA registered UK Tour Operator, established in 1972. The Travel Philosophy Ltd is an associated company trading on behalf of Cyplon Travel Ltd under the trading name of Travelosophers. This Privacy Policy explains how we use any personal information we collect about you when you use our services.

What Information Do We Collect About You?

Under the Data Protection Act 1998 and for the purposes of the General Data Protection Regulations, both The Travel Philosophy Ltd and Cyplon Travel Ltd act as a Data Controller.

We collect and use your personal information where the use of your information is necessary for us to fulfil our contract with you in providing travel arrangements, because the use of your information in providing travel arrangements is of a legitimate interest to you, to comply with legal obligations and where we have your consent to use your information for marketing purposes.

When making a booking with us, requesting a quote, making an enquiry online, ordering a brochure, engaging in our online chat or signing up to receive our e-marketing, we will require some or all of the following information; your name, date of birth, physical address, e-mail address and passport details.

We collect no personal information that is superfluous to our needs in fulfilling our obligations of providing travel services to our customers and consensual marketing activities.

How We Use Your Information?

Provision Of Travel Arrangements

The collection of personal information is essential to enable us to carry out our obligations in fulfilling our contract with our clients to provide travel services. These services include flight and hotel reservations, transfers, in-resort representation, car rental, cruises, tours, excursions, providing you with all necessary travel documentation, as well as providing quotations.

When a reservation is made, personal information is securely stored on our reservation management system, Vsourz Ltd, T/A Moonstride.

Customer details will be shared with overseas hotels and/or our selected in-resort Destination Management Companies as well as any third-party suppliers of the booking component in order to assist in carrying out our services.

Some airlines require passport information in order for passengers to be checked-in online. Where we collect customer passport information in order to carry out the service of online check-in, all forms of this information are securely stored until the relevant date of departure and then destroyed. This information is not shared with any third party other than directly with the airline requesting this information.

Marketing

Where you have consented to receive our marketing e-mails, the only personal information we will request from you is your name and e-mail address. We will send e-mails containing special offers, details of new brochures and competitions.

The personal information we have collected for marketing purposes will be stored securely on our in-house server as well as with Mailchimp, our e-mail marketing provider.

You have a right at any time to stop us from contacting you for marketing purposes. If you no longer wish to be contacted for marketing purposes, please e-mail marketing@tavelosophers.com.

Disclosure Of Information To Third Parties

We do not sell, trade or rent your information, and will never disclose information about you (including information obtained from our dealings with you) to third parties, except:

  • to fulfil your specific orders for a product or service or information in the event that third parties deliver the relevant product or service or information.
  • where third parties administer part or all of the product or service.

We may of course be obliged at law to pass on your information to the police or any other statutory or regulatory authority and in some cases, exemptions may apply under the Data Protection Act 1998, whereby we can legitimately release personal data e.g. to prevent or detect crime or in connection with legal proceedings.

Call Recording

We record calls for training and monitoring purposes in an effort maintain our high standards of service. Recordings are kept for a maximum of 6 months although, during this time, access to the recordings is strictly limited to senior management.
